For most small businesses the deciding factor is the software you already use: Microsoft 365 Copilot if you run on Outlook, Word, and Teams; Gemini if you run on Google Workspace; and ChatGPT or Claude as a standalone assistant. Whichever you choose, use a business plan, which keeps your data out of model training by default.

Use a business plan

Each provider offers business tiers with shared workspaces, admin controls, and single sign-on on higher plans. On these plans, OpenAI, Anthropic, Microsoft, and Google state that customer data is not used to train their models by default. Free and individual plans have different terms, so do not run company work through personal accounts.

How to choose

  1. Start from the suite you already pay for. If most work happens in Microsoft 365 or Google Workspace, its built-in assistant has the advantage of access to your files and mail.
  2. Trial on real tasks. Give two assistants the same five tasks from your week, such as an email reply, a document summary, and a spreadsheet question, and compare the results.
  3. Check the admin side: user management, data retention settings, and whether the plan meets any compliance obligations you have.
  4. Pick one as the default. Splitting a small team across several assistants makes shared prompts and training harder.

When an assistant is not enough

Assistants work when a person is in the loop for each task.
